QuickBooks Tip: Converting data from other accounting programs to QuickBooks
 
You can convert data from accounting programs you may be currently using such as MAS 90, or Peachtree by exporting the data from your accounting program to a comma  or tab delimited file. Next that file is opened in Microsoft excel.  The excel data must be rearranged and then copied and pasted into a preset .iif file. Recently Accounting Software Deals sat down with 30-year accounting expert, and certified QuickBooks Pro Advisor, Don Mink of the Mink Accountancy Corp.  In this interview Don offers tips for running your accounting software more effectively, and goes in depth on topics like QuickBooks Payroll and QuickBooks Inventory Assembly.

1) Mr. Mink, let me start off by thanking you for taking the time to sit down with AccountingSoftwareDeals.com.  Can I ask you how long you have been in business, and what areas you specialize in?
30 years this month and specialty is QuickBooks (desktop and online edition) consulting for small businesses. I specialize in Point of Sale, invoicing, payroll and credit card processing.

2) On average, how many of the clients that you work with have some version of QuickBooks that they use for their business or personal accounting needs?  What percentage of your time with these clients do you spend helping them run their QuickBooks effectively?  Do you feel that you are unique because you deal with QuickBooks so often as a CPA, or do you think this is a trend that most CPA's are experiencing?
All my clients I support use QuickBooks. Not enough time is spent on effective use of program, too many clients call us to fix problems and not solve the methodology that created the problems. I am not unique in supporting QuickBooks as it is the program of choice for small and medium size businesses so you are seeing more CPA's supporting this software.

3) Being a QuickBooks expert, can you give our readers your top two or three tips, or hints for running their accounting software more effectively?

  • Make sure under preferences you have require accounts enabled to prevent entries to "unassigned accounts".
  • Auto fill account number preference  is a convenient way to recall an account assignment for a certain payee previously used in quick books. However it is only a starting point so a decision should be made each time whether to use the same account # or change it.

4)  You had said that you specialize in QuickBooks Inventory Assembly.  Can you tell us a little more about that, and what such an assembly usually requires from you and your clients?
It is like baking a cake, you need to gather all the components  and quantities (both parts and labor) that go into assembling your product and once set up it gives you excellent cost reporting and quantity control. The component list and quantities are necessary before the CPA can set up this module in QuickBooks.

5) With a new version of QuickBooks soon to be releasing in the Fall, we wanted to get the conversations started about what improvements you would most like to see added to QuickBooks 2012.  Take QuickBooks Payroll for example.  Tell us a bit about what you appreciate about the program now, and what you would like to see improved for 2012.
I would like to see a feature added where you can search for invoices based on a specific item in the invoice. I recently had a client where I needed to identify specific invoices where the item was used and no report was available to provide me a list of invoices. Intuit Payroll for example integrates well into QuickBooks desktop software (accounting payroll entries can be exported to the desktop version)  One shortcoming is if you have employees on salary and the salary is fixed there is no way to automatically approve the payroll. I have suggested this to the tech support group at Intuit Payroll as an enhancement.
